Studio utilization: what it means for a creative studio.
Studio utilization is the share of a studio's available delivery time that is booked or spent on client work, used to judge whether the team is overloaded or underused.
How to read it
Utilization compares time spent on client work with time available for it. A very low figure means the studio is under-booked and revenue is at risk. A very high figure means little room for revisions, sick days or a new opportunity, and quality tends to suffer. The healthy range depends on how much non-billable work the studio carries, such as sales, admin and internal projects.
Why forward-looking beats backward-looking
Reporting last month's utilization tells you what already happened. The useful number is next month's: booked and likely work against the people available. That is what decides whether to accept a project, hire help or pause outreach.
- Look at capacity several weeks ahead
- Include quoted work that is likely to close
- Leave headroom for revisions and the unexpected
The problem with sheets
Most studios track this in a spreadsheet that is accurate on the day it is made and stale by the following week. Every new booking, delay or cancellation changes the picture, and updating it competes with real work.
